8 Frequently asked questions about Conferencing AV

How do I choose the right equipment?

We offer full assistance during your booking to ensure that your requirements are met. We are happy to advise on different types of equipment for all styles of presentation. Your speakers may prefer to be able to move around on the stage with a lapel microphone rather than standing behind the podium with a fixed goose neck microphones.

Do I use my laptop, or can you supply one?

We have a range of laptops available to hire, both Windows and Apple to cover all requirements. We offer a event preparation service meaning you can send all of your speaker presentations to us in advance and we will supply a pre-loaded and ready to go presentation laptop for your event.

What is a confidence monitor and what does it do?

We have monitors of varying sizes that can be located at the front of the stage. This allows the speaker to see the what is being displayed on the projector screen without the need to turn around and check. This can also be used as a countdown timer or autocue facility.

What microphone do I need for Q&A?

There are 2 popular choices for this.

The first is a conventional handheld wireless microphone. We have also had it referred to as an “ice cream mic” given the way you hold them. This can be handed between the delegates.

The second is a Catchbox. This is a soft foam cube containing a microphone its a fun engaging product that can be thrown between delegates who then simply speak into the catchbox.

Why would I need an engineer?

The simple answer to this is peace of mind and smooth operation.

Our engineers are fully trained and can deal with any eventuality if they arise. They will be able to operate any equipment hired without the necessity of you or your staff having to do so. They are also there to maintain a high standard of audio and video for your delegates.

Let’s say you are using a podium with goose neck microphones. A speaker with a powerful voice could very well be followed by a speaker with a less powerful voice. With an engineer on hand to control the level for these speakers the powerful voice would not be too loud and the less powerful voice would not be too quiet.

We need holding slides a twitter wall and presentations

This is no problem at all. Using one of our industry standard vision mixers we are able to control the display of multiple devices at the touch of a button, freeze slides and smoothly transition between them all.

We have lots of delegates, will they all be able to see the screen?

We have a range of large display screens that can be used to repeat the main projection screen. We also have the option of closed caption displays on all screens.

There is also the option to cast your presentation using webcast technologies enabling delegates to view the presentation on their own device.

If any of your delegates have a hearing impairment this as well as a hearing loop can be integrated into your booking.

Is there a booking fee required?

With our conferencing events the booking fee will be 50% of the total hire amount and confirms all of the equipment necessary to fulfil your requests. The balance would be due prior to the event taking place.
